Build the plan. Lead the team. Make the event happen.
WCEP is looking for an Event Project Manager who is organized, resourceful, steady under pressure, and comfortable taking ownership.
This is not a desk-only project management position. You’ll spend time preparing for events, working with our sales and operations teams, coordinating vendors and resources, and then being on-site to make sure the plan comes together.
You’ll also have direct responsibility for the field team assigned to your events. That means providing clear direction, helping staff understand what needs to happen, addressing issues as they arise, and stepping in alongside the team when the work needs to get done.
Some days will go exactly according to plan. Other days will require you to adjust quickly, solve a problem and keep moving.
If you like being trusted to figure things out, take pride in doing things right, and would rather be part of making something happen than sitting behind a desk all day, this may be a great fit.
What You'll Do
As an Event Project Manager, you will:
- Coordinate assigned events from planning through completion.
- Review event orders and production requirements and make sure the right people have the information and resources they need.
- Work with clients, venues, vendors, sales, operations and field crews to keep event details moving.
- Participate in and lead production meetings and planning discussions.
- Create and maintain Time & Action plans to keep schedules, responsibilities and deadlines on track.
- Conduct site walks and create or assist with CAD layouts as needed.
- Make staffing recommendations for assigned events.
- Provide direction and on-site training to field staff when needed.
- Direct on-site event execution and work alongside the field team during setup, execution and load-out.
- Coordinate with vendors and other event partners.
- Drive WCEP vehicles, including a 26-foot box truck, and assist with hands-on event work.
- Help operate or oversee equipment such as forklifts and telehandlers when needed.
- Respond to last-minute changes and unexpected problems with a calm, practical approach.
- Maintain accurate event documentation and communication.
- Help ensure safety, quality and client expectations are met.
- Step in wherever needed to help the team successfully complete the job.
We're Looking for Someone Who...
You don't need to have held the exact title of Event Project Manager before. We care about how you work, how you think and how you handle responsibility.
You are someone who:
- Takes ownership instead of waiting for someone else to solve the problem.
- Can make appropriate decisions and keep work moving without constant direction.
- Is organized and pays attention to details without losing sight of the bigger picture.
- Stays calm and professional when plans change or things get complicated.
- Can give clear direction while treating people with patience and respect.
- Is comfortable leading a field team and holding people accountable for doing the job safely and correctly.
- Follows through on commitments and takes pride in a job well done.
- Works well with different personalities and can navigate difficult conversations professionally.
- Is willing to roll up your sleeves and work alongside the team when necessary.
- Doesn't need to be the loudest person in the room to be an effective leader.
Experience That Will Help You Succeed
We're interested in candidates with 3-5 years of relevant experience, including backgrounds such as:
- Event production or event rentals
- Construction or hands-on project management
- Field installation
- Production companies
- Logistics or field operations
- Military
- Equipment operation
You should have:
- Experience leading, supervising or providing direction to staff, temporary labor or field crews.
- Experience driving a 26-foot box truck or comparable commercial vehicle and maneuvering in tight urban spaces.
- A valid driver's license and insurable driving record.
- Forklift and/or telehandler experience is a plus.
- CAD experience is helpful but not required.
- Strong organizational and communication skills.
- The ability to learn WCEP's systems and processes and become increasingly independent in the role.
This Job Is a Good Fit If...
You enjoy variety and don't need every day to look the same.
You like being responsible for something and figuring out what needs to happen next.
You'd rather be in the field making an event happen than spending your entire day behind a computer.
You can work hard, stay calm and treat people well, even when the day doesn't go according to plan.
You take safety seriously, care about quality and aren't afraid to jump in when the team needs you.
This Job May Not Be a Good Fit If...
You need a predictable Monday-Friday, 8-4 schedule.
You prefer to be given detailed instructions for every situation rather than using your judgment.
You want a primarily office-based project management position.
You don't enjoy driving, physical work, equipment, event setup or load-out.
You are uncomfortable giving direction, addressing problems or holding people accountable.
You prefer a job where your responsibilities are strictly defined and rarely change.
The Schedule
This is a field-based position in an event production business, so the schedule will vary based on event volume, client needs, reservations, venue requirements and unforeseen circumstances.
We strive to support a work week of 40-50 hours in alignment with the flow of business demands in the event industry. Event production does not always operate on a predictable schedule, and flexibility is an essential part of the role.
During busy periods, longer days, early mornings, split shifts and late-night load-outs or pickups may be necessary. The workload naturally ebbs and flows with the event calendar.
We'd rather be completely honest about the schedule than have someone discover after six weeks that event production isn't the work they wanted.
What We Value
At WCEP, we value integrity, honesty, safety and self-discipline.
We believe the strongest teams have camaraderie and take pride in their work. We want people who look out for one another, care about the quality of what they produce and understand that exceeding a client's expectations sometimes means going the extra mile.
